Why Team Size Estimator?

If you sell to a specific function (e.g. Dev Tools, Mar-Tech, HR Tech, Security, etc), this is for you.

When qualifying or prioritizing accounts, you want to understand the size (and density) of the specific function or role you sell to. This new AI Agent delivers those estimates, enriches the data to your CRM, and enhances your ICP model.

Overview

The Team Size Estimator helps you nail your ICP Targeting in 4 steps:

  • Estimate the size of any team or function (e.g., engineering, marketing, HR). These definitions are fully customized.

  • Enrich your CRM with the answers. Trustworthy, explainable estimates.

  • Create scoring signals based on team sizes to refine your ICP model. Pick the ranges or criteria to include in account scoring.

  • Build segments and plays based on team size and org dynamics. Filter and tag accounts that fit certain ranges or team size criteria. Stack with other fit signals for highly targeted plays.

Agent Builder

Create the Agent

  1. Navigate to the Agents tab in your Keyplay dashboard

  2. Find and select the Team Size Estimator Agent

  3. Add some preview accounts.

Write Your Prompt

  1. Enter a simple, natural language question about the team size you want to estimate

  2. Examples:

    • "How many software engineers work at this company?"

    • "What's the size of their marketing team?"

    • "How many dedicated recruiters do they have?"

    • "How large is their security operations team?"

  3. Include details if you want to "coach" the agent to focus on specific titles or keywords.

You can ask super specific questions like how big is the B2C Acquisition Marketing Team. Or you can size up a more general function like how big in the Customer Support function.

Run and Review Results

  1. Preview Results: Click "Run Preview" to see how the Agent performs on your selected accounts

  2. Review Estimates: The Agent will provide:

    1. A rounded estimate of the team size

    2. Detailed reasoning for how it arrived at this estimate

Publish and Automate

Publish Your Agent: Click "Publish" to run the Agent on all your accounts or a specific target list

Configure Update Settings: Choose when and how often the Agent should refresh data:

  • Run on new accounts only

  • Run on all accounts periodically

CRM Field Mapping for Data Enrichment

Once published, the Agent can enrich your CRM (Salesforce or HubSpot) with team size estimates.

Custom Signals & ICP Modeling

You can set up custom signals based on the team size estimates your AI Agent finds.

  1. Navigate to signals in the dropdown menu

  2. Hit "create signal"

  3. Choose the AI field you want to build signals for

  4. Choose what ranges you want to use for your signals. In this example, we're looking for any account that has a dev ops headcount equal to or greater than 30.

We suggest making any headcount signals "org" category signals!

Once you've created your signals, you can add them to your scoring model:

  1. Navigate to your ICP model in Keyplay

  2. Add your custom signals based on team size estimates (e.g., "Marketing Team 10+")

  3. Adjust scoring weights to prioritize accounts with ideal team sizes

Account Segmentation

Filter and tag accounts based on team size to create targeted segments:

  1. In your accounts view, filter by team size fields

  2. Tag accounts for specific campaigns or sales plays

  3. Create account lists based on function size or team ratios

Best Practices

  • Be Specific: The more specific your query, the more accurate the estimate

  • Test Multiple Queries: Try different phrasings to see which yields the best results

  • Combine with Other Data: Use team size data alongside other firmographics for the most accurate ICP model

  • Update Periodically: Companies change over time, so schedule your agent to refresh every 3 to 6 months.

Q: How accurate are the team size estimates?

A: The Agent uses trusted data sources and validation methods to provide the most accurate estimates possible. Estimates are rounded to provide realistic ranges rather than exact numbers.

Q: Can I estimate sub-teams within a department?

A: Yes, you can be very specific in your queries, such as "How large is their B2C Acquisition Marketing team?" or "How many frontend developers work at this company?"

Q: How often is the data updated?

A: You can configure the Agent to update on new accounts or refresh all accounts at your preferred frequency.

Q: Can I export the team size data?

A: Yes, all data enriched by the Agent is available in your CRM and can be exported using standard CRM export functions.
